The Baffler Foundation, Inc., an independent, non-profit publishing enterprise and The Washington Spectator, a monthly independent bulletin on social and political affairs, are seeking a tried-and-true circulation assistant to organize and administer a period of tremendous organizational growth.
We’re keen to find someone who takes initiative and direction equally well and goes with the flow as priorities shift and wriggle. We envision this position as office management and administration, reporting to senior management and Board of Directors, and covers three main spheres of responsibility:
Managing offices in New York and work with our Cambridge office and staff outposts in Madison, San Francisco, and Washington DC. This person would manage incoming and outgoing mail; enable conference calls; help organize staff meetings and public events; preparing agendas and recording minutes at meetings; filing and storing of internal archives, invoices, vendor contracts, bank accounts statements and minutes of board meetings. The publishing assistant is also responsible for processing grants and deposits; ordering office supplies; books and research materials; mailing out parcels of magazine issues and books; maintaining orderly and accessible files for inspection by outside parties and for the Foundation’s internal archives.
Customer service and circulation assistance includes managing correspondence with subscribers and customers; function as our liaison to the fulfillment house; and assist with circulation management and promotion tasks and such other publishing initiatives that are undertaken in the course of the workweek. We are looking for a smart person with some work experience and computer skills.
Administering our IT, including basic security protocols, logins and passwords; carrying out regular download calendars and maintaining external hard drives; assisting with website regular maintenance, and software updates. The Foundation’s information technology is largely about enabling connective, online office platforms.
Comfort with Microsoft Office, Google Apps for Work, Dropbox, Hubspot, Skype, MacOS and iOS, or close enough aptitudes.
Experience in publishing and a touch of well-applied mania are both beneficial.
