Job Description
PAI is seeking a Research & Advocacy Coordinator who will provide general administrative support to PAI’s Research and Advocacy departments in its execution of work relating to women’s health, rights, and empowerment.

Under the supervision of the Vice President of Programs, the Research & Advocacy Coordinator provides general administrative support to the PAI Research and Advocacy departments in its execution of work relating to women’s health, rights, and empowerment. The Coordinator is responsible for implementing departmental administrative systems, procedures, and policies, and for monitoring all administrative projects and processes, and maintaining an efficient, effective workflow. Responsibilities include collaborative work on special projects as needed, coordination of meetings and conferences, responding to non-routine correspondence, and compiling departmental documents and information.

Job Responsibilities

  • Administrative Support:

    • Arrange travel for staff and international colleagues

    • Update and maintain department lists and keep track of staff schedules

    • Organize logistics for internal and external meetings and conferences, including securing catering and event space, preparing agendas and minutes, and compiling materials

    • Complete routine finance and administration forms

    • Provide support with department and project-related budgets, including data entry for budget tracking

  • Data Management and Compilation:

    • Track M&E indicators for grant reporting and institutional M&E process, as needed

    • Assist with data entry and management for Research and Advocacy departments in the institutional customer relationship management (CRM) system

  • Program support

    • Liaise with PAI staff in other departments (Communications, Executive Office, Development, Finance) on a day-to-day basis and in cross-departmental projects

    • Attend external meetings and conferences

    • Assist in administration of small grants to partner organizations, including disseminating requests for proposal, vetting received applications, issuing of grants and grant reporting

    • Under the direction of research associates, conduct preliminary literature review or compile data on selected topics for research and possible future publication

    • Help fact-check PAI publications, footnote sources, and compile bibliographies

 

Job Requirements

  • Associates or Bachelor’s degree in related field and two-years work experience or equivalent combination of education and experience

  • Outstanding writing and oral communication skills; ability to multi-task; and attention to detail

  • Fluency in a language other than English is a plus

  • Team player with a sense of humor, collaboration and creativity
