Job Description
This position supports the business development unit to coordinate logistical and administrative tasks and assists in any corporate tasks as needed.


Job Responsibilities
Administrative Services (40%)

  • Coordinate with Operating Groups on all proposal efforts involving bid and proposal (B&P) funding; process B&P requests for proposal codes;

  • Coordinate with finance for timely generation of codes;

  • File results for easy access by others in the BDU;

  • Ensure hard-copy distribution of Requests for Proposals (RFPS) throughout the company;

  • Handle logistics for weekly and monthly business development meetings, including reserving rooms, preparing agendas, taking and distributing notes;

  • Maintain files and logs, including those for business acquisition plans (BAPs), proposal codes, and internal tools and templates;

  • Manage invoicing and payment for independent consultant agreements (ICAs), including setting up requisitions for billing, processing invoices and submitting to Accounts Payable;

  • Update and maintain the Acquisitions section of the Portal in coordination with OIMT;

  • Assist the Small Business Liaison with small business events and outreach, organize small business form entries.

Proposal Support Services (10%)

  • Research country context;

  • Compile past and on-going project experience;

  • Organize information on potential subcontractors and resource organizations;

  • Create charts, tables, and staffing matrices.

Data Analysis and Reporting (20%)

  • Help to continuously update and track data to produce, analyze, and summarize new business reports (win-loss reports and other new business metrics).

Training Support Services (30%)

  • Provide logistical support to BDU training classes including scheduling, registration, room reservations, set up, compiling evaluations, etc;

  • Manage BDU training files including cataloging materials and updating the curriculum.


Job Requirements
Minimum Qualifications:

  • Grade 4:  Bachelor’s degree

  • Understanding of/interest in the international development field

  • Excellent oral and written communication skills

  • Excellent time management and organizational skills

  • Ability to work independently and as a part of the team

  • Equivalent combination of experience and training will be considered

Preferred Qualifications:

  • One year administrative experience

  • Proficiency in a second language
